POSITION SUMMARY:
This full-time position requires administrative leadership for an NAIA Division II program in the competitive KIAC conference fielding seven  teams in three men’s and four  women’s sports programs.  The Assistant Athletic Director and Sports Information Specialist is responsible for; all elements of sports information and media relations; supervision of personnel; facilities scheduling and supervision, and assisting in the overall management of the athletic program.  Regular evening and weekend work required.  Position reports directly to the Athletic Director.

MINIMUM QUALIFICATIONS:
Bachelor’s degree
Intercollegiate athletic experience
Media relations; sports information experience preferred
In-depth knowledge of NAIA rules
Proficiency with Microsoft Office, webpage design, Excel, and stats management
Excellent interpersonal and written communication skills
Proven orientation toward quality service and teamwork
Proven leadership and organizational skills
Strong commitment to the academic achievement and personal growth of student-athletes
Valid driver's license
Ability to lift 30 lbs
Average mobility needed

DUTIES AND RESPONSIBILITIES: 
General/Administrative:
Assist in the Athletic Director in the establishment of goals, action plans and assessment measures to promote and develop athletics, recreation, and intramural activities.  Compile reports and statistics on the effectiveness of the overall athletic program.

Oversee the operations of the Activities Building, all playing fields, and sport areas on campus.

Assist with the supervision and management of intercollegiate athletic events held on campus, including but not limited to, setting up the venues, securing game workers, greeting officials and securing the proper paperwork from officials and other employees.

Make arrangements to provide officials, announcers, scorekeepers, equipment, custodians, concessions, and gate attendants needed for any campus athletic event.

Supervise the Athletic Trainer, Cheerleader Coach, and Dance Team Coach. 
Assist with departmental fundraising activities.
Sports Information & Media Relations:
Work with campus and other individuals to promote and plan special events such as radio/TV coverage, half-time entertainment, and recognition awards.

Work closely with all coaches to meet their media and statistical needs.

Assist the Athletic Director in marketing athletic events.

Assist the Athletic Director to coordinate half-time entertainment and promotions.

Disseminate sports results and information to area media outlets.

Work with university and external entities to develop media guides, programs and brochures.

Develop all departmental news releases.

Improve and maintain the departmental web page.

Develop and maintain a working relationship with the local media and other university offices.

Write stories or articles for internal university publications.

Develop procedures for getting information from coaches when the teams play on the road.

Develop archives of records and statistical information.

Set up post event interviews when appropriate.

OCCUPATIONAL SUMMARY:
This working director position has dual primary responsibilities:

First, acts as the IT communications and policy officer for the campus. This means developing and managing communication plans, strategies and high-level events for IT, as well as interpreting IU-wide policies and ensuring compliance with state and federal laws.  In this role, the position is responsible for ensuring the quality, efficiency, effectiveness and professional presentation of IT services, programs, initiatives and facilities, and plays a key role in management of data security for the campus.

Second, directs the IT Support & Communication department in order to provide computing hardware and software support to the campus community. Provides vision and directs the management and operations of the department; develops and manages the budget and leads six full-time and 34 part-time employees who support more than 1,800 computers in offices, classrooms, computer labs, and public spaces.

The successful candidate will serve on numerous campus committees and work closely with students, deans, and directors to gauge and analyze the impact of IT transitions, upgrades, and downtime in an effort to minimize any potential negative impact on users; at the same time, searching for opportunities to enhance campus effectiveness through technology.  This position reports to the Vice Chancellor of Information Technology.

MINIMUM REQUIREMENTS:
Bachelor’s degree in a relevant field; Master’s degree preferred

3 years professional, full-time experience in supervising full-time personnel (preferably within a technology support department)

3 years experience in creative design and communication to varied audiences (within an IT environment is a plus)
2 years experience in policy writing or interpretation; experience writing and/or interpreting IT policy strongly preferred

Extensive project management experience; prioritizing and managing multiple concurrent tasks, projects, and demands with an energetic and self-directed attitude

Financial management skills including, but not limited to, budget development and strategic analysis

Excellent planning and organizational skills

Demonstrated service orientation with a proven commitment to the highest quality standards

Experience working with, and relating to, a wide range of audiences using tact, patience, and courtesy

Expertise in Microsoft Office and a working knowledge of page layout programs such as Adobe InDesign, Photoshop, and/or Illustrator (CS3 a plus)

DUTIES AND RESPONSIBILITIES:
Work with the Vice Chancellor of Information Technology to plan and coordinate the deployment and utilization of technology consistent with the mission and goals of the campus. Advise the campus and the VC IT on emerging technology trends and issues.  Assist all campus units with technology advice.  Plan and provide vision for long and short term technology needs.

This position serves as the public voice for IT and as such is responsible for crafting communications to faculty, staff, and students regarding IT initiatives, policies, and events. Acts as the clearinghouse for all IT messages to ensure consistent, effective communication. Identify needs, conduct research, and determine audiences for various documents, publications, signage and online resources. 

Lead and manage IT personnel in the preparation of internal and external publications to include, but not limited to, e-mail notifications, plans, reports, papers, presentations, press releases, and articles.  Research, write and edit policy, procedural and technical brochures and booklets.  Plan and coordinate IT-sponsored events and serve as liaison between IT and University Information Technology Services. 

In consultation with the VC IT and the University IT Policy & Security Office, review existing IT policies and develop and implement plans to ensure compliance with University IT policies and State and Federal law. 

Establish and implement the objectives, priorities, policies and procedures for the Department of IT Communications and Support.  Work collaboratively with other IT departments and the VC IT to support the overall goals and objectives of IT and the campus. Serve with other IT directors to coordinate crisis management.  

Work collaboratively with deans, directors, unit managers, outside vendors and agencies to identify needs and opportunities to create and deliver technology services.  Explore partnerships with internal and external agencies.  Attend meetings, serve on committees and represent the department and technology-related interests of the campus, at the University and campus level, and with professional organizations.  Establish cooperative working relationships and initiate, promote and coordinate IUS technology-related collaborations with other IU campuses.

Provide assistance to faculty and staff in administrative and instructional uses of computing resources.  Provide consultation, advice, and assistance in the purchase and use of information technology including hardware, software, and internally and externally provided services. Promote awareness by IUS faculty, staff and students of services provided by IT Communications & Support and procedures for utilizing those services.

Provide management and leadership for IT support staff for student, faculty, and staff computing.  Conduct needs analyses and make decisions and recommendations based on industry trends and user needs.  Support decisions and recommendation with internal and external data.

Work with Manager of Support Services to manage day-to-day departmental activities.  Identify, assess and implement improvements as appropriate.

Supervise and evaluate the performance+ of IT Communications & Support employees.  Perform personnel actions to include, but not limited to, performance appraisal, vacation scheduling, work scheduling, recruitment, hiring and dismissals.  Hire, train and/or manage staff as needed for short-term work projects or long-term project implementation.

Serve as account manager, including budgeting and planning, for all IT Communications & Support accounts.  Ensure accurate tracking of departmental activities for planning and budgeting purposes. Prepare periodic departmental management reports and statistical usage data.  Manage record keeping for departmental planning, for process tracking and for projections of future costs and needs. 

Advance personal knowledge of computing hardware and software technologies and technology innovations and trends.

The Vice Chancellor for Administration and Finance exercises executive and administrative direction over campus financial and selected administrative operations.  He/she develops and monitors campus budgets; coordinates planning for capital construction, repairs, and renovations; manages land acquisitions; and manages the operation and maintenance of facilities, grounds, and other aspects of campus infrastructure.  He/she establishes policies and procedures and has general administrative responsibilities affecting long-range institutional plans and projects.  Oversees a group of support operations to include:  Accounting, Bursar, University Police, Human Resources, Parking, Payroll, Physical Plant, Purchasing, Dining and Conference Services, and the Ogle Center.

MINIMUM REQUIREMENTS:
The ideal candidate will have the following professional qualifications and personal characteristics:

  • Management experience and skills:    at least seven (7) years of progressively more responsible management experience related to administrative and fiscal affairs in a complex organization, preferably in higher education; successful experience in a strongly consultative and collaborative environment is essential.
  • Decision-making style:  comfortable with distributed leadership and extensive consultation, but also decisive and able to act in the face of competing objectives; able to work comfortably with ambiguity; able to balance advocacy, responsiveness, and partnership, both within the campus and in the IU system; able to assess and enhance the effectiveness of the current Administrative and Fiscal Affairs organization.
  • Budgetary and accounting experience:  Experience designing and implementing sophisticated budget and planning models, and a strong understanding of auditing, debt management, and legal affairs.
  • Professional development and supervision of staff:  Experience working with a team to get things done, developing and empowering staff, holding them accountable, and thinking creatively about strategy.
  • Strategic planning experience:  Ability to construct and work with sophisticated planning models, and the ability to link budget and planning.
  • External relations:  Ability to communicate effectively with external audiences; successful development of business and community partnerships.
  • Communication:  Strong communication skills, both within and outside the University.
  • Educational credentials:  A master’s degree in an appropriate field is required.

OCCUPATIONAL SUMMARY:
Serve as senior administrator for all web-based services.  Collaborate with designers and others as a part of the IU Southeast web production team in creation of campus websites and web services.  Design, write, develop, debug, install, modify, configure and maintain software to support web-based systems. Reports to Director of IT-Media & Web Services.

MINIMUM REQUIREMENTS:
• Bachelor’s degree with a concentration in computer science or related field or equivalent training and experience. (Certification a plus).
• 2 or more years of experience in installation, configuration, administration and troubleshooting web and application servers such as Windows 2003/Microsoft IIS 6.0, SQL server 2000 and Adobe ColdFusion MX7 (MX8 a plus ).
• Technical proficiency developing applications in a web environment using XHTML/CSS,, Cold Fusion MX7 (CF 8 preferred), and JavaScript.   Experience with content management systems. 
• Evidence of the ability to write stored procedures and complex queries in order to create efficient and logical databases for web applications.
• Demonstrated work history of creating automated scripts to increase productivity and efficiency.
• Demonstrated work experience with Microsoft SQL server 2000, including DTS (development and scheduling) and Stored Procedures.  Experience with Oracle and MySQL is a plus.
• Solid technical understanding and experience with network protocols such as TCP/IP,  SSL, DNS, etc.
• Evidence of experience coding for various web browsers (for Mac and Windows platforms) a plus, including Microsoft Internet Explorer 6/7, Mozilla, and Safari.
• Evidence of using web site tracking tools, such as Google Analytics, Web Trends, etc. to generate reports and analyze site traffic patterns and usage.
• Technical knowledge of Active Directory Authentication and its integration into web applications.

DUTIES AND RESPONSIBILITIES:
Serve as web administrator on the campus web development team.  This includes, but is not limited to, Internet and intranet services.  Ensure pages are correctly coded, oversee the content management system, automate manual processes, and integrate database and application software into web designs in order to increase site effectiveness.
 
Analyze systems.  Design, write, develop, debug, install, modify, configure, and maintain software in support of web-based services.  Work with IT-Systems & Operations to install, configure, and maintain hardware in support of web-based services.  Work with the Network Administrator regarding the use of network protocols such as DHCP and SMTP.

Influence structure of new web pages to maximize accessibility, usability and effectiveness; maximize users’ ability to search site content.

Work closely with the Director of IT-Media & Web Services and the IT-Systems & Operations team to develop and maintain appropriate policies and procedures regarding usage, access, and administration of campus web site; maintain appropriate security; support and coordinate with Director to serve as campus consultant and authority regarding world wide web issues; educate campus regarding world wide web potentials and limitations including database functionality.
 
Serve as a user contact and consultant to answer questions, interpret technical information, identify needs, provide information, education and technical services, troubleshoot, and make referrals to other technical resource persons, including the Director of IT-Media & Web Services and the web team.  Serve as liaison between local web services users and system-wide and external providers to process request and coordinate systems. 

Coordinate with Media Services staff in order to instruct users in hardware/software usage to include, but not limited to, serving as instructor for local training programs, and developing documentation and training materials.

Advance and maintain personal knowledge of locally utilized hardware/software as well as industry hardware/software technologies.

Maintain web hardware and software security and operate facilities in accordance with copyright laws and licensing agreements.

Establish and maintain vendor contacts for production information and technical support.

Supervise work activities of student programming assistants, to include participation in hiring, training, and assigning work.

DIRECTOR OF ALUMNI AFFAIRS

OCCUPATIONAL SUMMARY:
The Director of Alumni Affairs is responsible for the planning and implementation of programs and projects that strategically engage alumni.

The Director of Alumni Affairs is a key member of the University Communications team and is responsible for official ceremonial events such as Commencement and the Alumni Awards Luncheon.  Other responsibilities include membership development, alumni publications, strategic management of the alumni board, and fundraising support. The Director is also responsible for a strategic alumni association recruitment program.

The successful candidate will work with the IU Alumni Association and its respective committees, manage a communications plan and program for all alumni, and participate in the identification and cultivation of donors and prospects.  The Director will be required to work in a team environment to plan and execute on-campus and off-campus events for a range of alumni groups.  This position will report directly to the Director of University Communications/Special Assistant to the Chancellor.

MINIMUM REQUIREMENTS:
Bachelor's degree required; Masters Degree preferred
4 years professional, full-time experience in a non-profit organization
4 years full-time experience in alumni development strongly preferred
Major event planning experience required
Project management experience required
Supervisory experience required        
Budget management experience required
Evening and weekend work required
Some travel required
Expertise in Microsoft Office required
Strong oral and written communication skills required with experience writing for multiple channels (electronic and print) strongly preferred
Experience working with a range of volunteers strongly preferred
Previous experience in development/university relations/ university communications is desirable

DUTIES AND RESPONSIBILITIES:

1. Plan, develop and implement programs for alumni involvement.
2. Assist schools and campus units in developing programs to increase alumni involvement including development and distribution of information. Work with Deans and other faculty members to recognize outstanding alumni and students within their respective schools.
3. Assist Athletics, Admissions and other offices in the recruitment of students and the promotion of IU Southeast with sound alumni outreach strategies.
4. Arrange campus tours for alumni and visiting VIP’s.
5. Supervise, plan and direct the annual commencement exercises and the distinguished alumni lunch.
6. Manage alumni-related budgets to ensure resources are allocated effectively and within established parameters. 
7. Direct and coordinate membership acquisition and retention programs for the IU Southeast Alumni Association.
8. Provide leadership, direction, support and coordination for IU Southeast Alumni Board of Directors to enhance alumni membership, programs and initiatives in support of the campus mission and strategic plan.
9. Working with the Alumni Board, plan, write, and undertake a strategic plan for the engagement of the IU Southeast Alumni Board and alumni membership outreach.
10. Provide appropriate liaison with the IU Alumni Association and support for IU Alumni programs in the IU Southeast area.
11. Serve as liaison to the Louisville/Southern Indiana Chapter of the IU Alumni Association.
12. Advise and support the Student Alumni Association through meeting facilitation, event support, etc.
13. Supervise clerical staff and volunteers as needed.
14. Provide support for a range of special events on campus.

DEAN OF STUDENT LIFE

OCCUPATIONAL SUMMARY:
This is a student affairs generalist position.  The Dean of Student Life has the responsibility for student development, learning outcomes, and assessment through a variety of student activities, programs, and services. The Dean oversees the Office of Campus Life, which includes: the Student Program Council, Greek Life, Recognized Student Organizations and their offices, Game Room, Orientation, Leadership Programs, Parent Programs, Volunteer Programs, Adult Student Center, Children’s Center, and the Student Government Association, ensuring that high quality services and programs are provided to students and the campus community. The Dean serves as one of three campus leaders responsible for campus-wide diversity efforts and also serves as one of three judicial officers for the campus.  This position is part of the Student Affairs leadership team, reporting directly to the Vice Chancellor for Student Affairs.

MINIMUM REQUIREMENTS:
Masters degree required (in College Student Personnel or related field preferred)
5 years of progressively more responsible full-time experience in student affairs
Previous experience at the Director level and/or experience overseeing multiple functional areas simultaneously within student affairs preferred.
3 years experience supervising full-time staff
Experience adjudicating student disciplinary cases
Knowledge of legal issues related to student organizations, activities, and free speech
Budget management experience
Demonstrated leadership ability with capacity to make quick, sound decisions
Willingness to work evenings and weekends required
Computer skills with knowledge of database/word processing, spreadsheet, e-mail and presentation software

Supervise the Associate Director (who supervises the Volunteer Programs Coordinator and oversees Campus Activities and the Game Room), Coordinator of Non-Traditional Student Programs, Orientation and Leadership Coordinator, Children’s Center Coordinator, and the Office Services Assistant.

Assist with student judicial case load by serving as a hearing officer.

Participate in Student Affairs Directors meetings for planning and administration; lead the department’s CAS assessment process, IU Southeast Strategic Plan initiatives, and departmental goal setting.

Serve as the primary advisor for the Student Government Association.

Work collaboratively with Associate Vice Chancellor for Academic Affairs and Affirmative Action/Training Officer on a comprehensive approach to campus-wide diversity efforts.

Work collaboratively with the Volunteer Programs Coordinator and Associate Director to partner with Academic Affairs in the development of service learning opportunities.

Serve as account manager of ten budgets.  Develop and submit budget recommendations; monitor, verify and reconcile expenditures of budgeted funds.

Develop and be actively engaged in programs and services to support holistic student development.

Develop, implement, and assess student learning outcomes for Campus Life areas.

Serve as the campus’ primary contact person regarding the Free Speech Guidelines.

Provide leadership and support to ensure a comprehensive offering of campus programming to foster a sense of community.

Conduct student assessment and satisfaction surveys as needed.

Represent Campus Life on committees, and represent IU Southeast on educational/community partnerships as needed (e.g. Metroversity).

Establish and maintain connection with area graduate schools to identify potential intern or practicum candidates to work in the various functional areas.

Seek external funding/support as needed.
