STAFF COUNCIL
MINUTES OF MEETING HELD 11/12/01

PRESENT: Lee Bennett, Juli Crecelius, Roger Morris, Rita Seelye, Lisa Ruddell, Barbara Gelwick, Debbie NeSmith, Janie Loney, Cynthia Stevenson, Kathleen Norvell, Curt Peterson, Alicia Stanley and Bev Biggs

ABSENT: Cari Winstead

ABSENT/
UNEXCUSED:
Rebecca Beardsley, Rick Reynolds

President Norvell welcomed new members, Curt Peterson from the Bookstore and Barb Gelwick, Computer Services Web Weaver.

Secretary Bev Biggs reported that the minutes of the last meeting were approved by all Staff Council members via email then sent to all staff prior to the meeting.

Treasurer Janey Loney reported the following:
  Savings Account: $853.91
Checking Account: $519.49
Rainy Day Fund: $317.63
  • The Rainy Day Fund is money set aside for staff members who need some help because of a catastrophic event. A committee of two faculty and one staff approve requests.
  • An amount of $100 was expected from Market Day because of our participation in the summer one-day program. Past-president Trudy Walter is working with Market Day to get these funds.
  • A donation to the Red Cross for the September 11 fund was approved at the last meeting; however, with the change in Treasurer, there has been a delay in getting the check processed. Since that was approved, it has been determined that the Red Cross is no longer taking donations for that fund and suggested that we give the money to the local Red Cross. The Council decided to hold off until it was determined if we would make a Christmas donation to a local charity.
  • Something from the florist will be sent to Sandy Forrest and Jim Oliver.
  • A request for a donation to the American Cancer Society was received and it was recommended that we continue to make contributions through the Relay for Life, held in the spring.

STANDING COMMITTEES: Elections were held for chairs of the standing committees:
  • Election Committee: Roger Morris
  • By-Laws Committee: Bev Biggs
  • Personnel Affairs Committee: Juli Crecelius
  • Nominating Committee: Lee Bennett
The chairs will solicit membership from the staff at large and report their names at the next meeting. Each committee is composed of at least one member from each classification of CL, TE and SM.

GOALS: The following goals were decided for the up-coming year:
Raise profile of Staff Council:
One suggestion to do this was having a meeting for all staff to attend, but many felt that attendance wouldn’t be good. We did agree that all staff council members would stuff holiday bags at our next meeting which would include goodies and a Happy Holidays note with our Web address on it. Deb NeSmith will be in charge of getting the bags and goodies and Janey Loney will help with the note. All members will help stuff and deliver the bags to each staff member sometime before the holidays. This will serve a two-fold purpose: one, raising our profile and two, getting members around to meet new people and discuss Staff Council.

Better organization of meetings, meeting dates, membership, etc.

Keep Web Page Updated:
Our new member and Web Weaver, Barb Gelwick, has volunteered to update our Web Page with minutes and agendas. Other helpful information will be on the page also, such as the By-Laws. It is hoped that this will be a place that members will access if they miss the agenda or minutes on the new system.

Fund Raising:
Funds are needed to help staff in times of need (raining day fund) and flowers when people are sick. Two suggestions are discussed below.

FUND RAISING: An idea of a style show was looked into by Alicia Stanley and Lisa Ruddell. Council members agreed that this was a good idea and to have a show at lunch time on a Friday around mid-March. Anyone willing to help with preparations should contact Lisa Ruddell, Cynthia Stevenson or Kathleen Norvell. Priddy’s will do the narrative and music, prepare and transport the clothes for $100. Kohl’s and Dillards will donate the clothes at no cost. Cynthia Stevenson will work with food service and come up with a budget for the council to consider whether or not the event will generate enough funds to make it worthwhile.

A gift tree was another suggestion and Kathleen Norvell will take on this project. Gift certificates from local restaurants will be hung on a small tree and raffled off. Approval will be sought before this is done and hopefully can be accomplished before Christmas.

SUB LIST: Anyone willing to act as a substitute for Council members who are unable to make a meeting should contact Secretary Bev Biggs, who will keep the list and make it available to current members. It is seen as a way staff can take part in meetings without having to commit for an entire two year period.

MISCELLANEOUS:
  • There is a suggestion box outside of Human Resources that members can send suggestions or questions to the Council. These may be anonymous.
  • Jackie Love has asked to address the Council and will be invited to attend a meeting after Christmas. Alicia Stanley will talk with Jackie prior to the meeting to see if there are concerns we can address prior to that time.
  • Java Joy has half-off coupons for members of organizations on campus and Staff Council members will be given a card soon.
  • An anonymous letter was sent to President Norvell asking about an individual staff member’s salary. President Norvell discussed the letter with Human Resources and was told that salary issues should be addressed to Mark Mixner or Human Resources directly. Staff Council cannot and is not prepared to discuss individual salary issues. Group salary issues, such as the amount of raises for staff in general, can and will be discussed.
  • A staff member was asked if the university would issue duplicate parking permits for staff with more than one car. President Norvell will ask the Police Department about their policy.

The next meeting of the Staff Council will be held on Tuesday, December 4 at 10:00 in Life Sciences 278.

Initial agenda items include:
  • Nomination of two faculty members to serve on rainy day committee fund
  • Parking policy on duplicate permits
  • Gift Tree
  • Update on style show budget
  • Standing Committee Members
  • Meeting schedule for spring
