JOB SUMMARY


The Administrative Assistant provides executive level support by managing calendars, communications, client engagements, travel schedules, and reports as assigned. This role organizes and develops information and materials necessary for meetings, special projects, presentations, and reports and provides additional support as assigned. The Administrative Assistant also collaborates with other office associates to manage office activities and professionally represents CHORUS® in all interactions by demonstrating a commitment to the company's vision, mission, and core values.

RESPONSIBILITIES


- Supports senior level executives
- Manages calendars, phone calls, travel schedules, client deliverables for presentations, including logistics and materials interfacing with external vendors and strategic partners
- Performs additional support tasks: coordinates meetings, prepares documents, takes notes/minutes, sends reminders/responses, maintains files electronically and physically
- Tracks expenses and coordinates collection of other associate expense reports
- Organize and develop information and materials necessary for meetings, special projects, presentations, and reports including printing and assembly
- Develops project deliverables and manages resources for assigned projects
- Maintains assigned public areas (e.g. lobby, conference rooms, production room, etc.)
- Collaborates with other associates to manage office activities and events
- Partners with other administrative staff in office processes: mail, office supplies, office appearance, reorder of office supplies, and inventory management


Qualifications
- Associates degree in Business Administration or a related field, preferred
- Minimum three years of support experience
- Advanced knowledge of Microsoft Office applications including Word, Excel, Outlook, PowerPoint, and Publisher
- Ability to manage time and set priorities amidst multiple tasks and deadlines
- Ability to work comfortably with all levels of the organization
- Project management skills
- Excellent organization, planning, and problem-solving skills
- Strong professional written and verbal communication skills with external clients, including executives on a regular basis
